JOB TITLE: EXECUTIVE
ADMINISTRATIVE / PERSONAL ASSISTANT
LOCATION: CMA

STAFF
POSITION
OVERVIEW: This
position will report directly to the President
and Principal of the Company with no direct
reports. Assist President and Principal
with professional and personal duties,
such as personal errands, airport drop
off, answering phones, etc.
Essential
Functions and Responsibilities may include but are not limited
to: :
Work
directly with and be main support for the Company’s
President and (1) Principal.
- Reading
and routing incoming mail; locating and attaching appropriate
documents
and correspondence for employees
-
Taking dictation and transcribing notes
from meetings or from voice recordings.
- Composing
and word processing routine correspondence.
- Organizing
and maintaining file system (client projects,
records etc).
- Answering
and screening President’s telephone
calls, arranging conference calls.
- Reading
and responding to email messages.
- Coordinating
President’s schedule and making appointments
(personal and professional).
- Extensive
calendar management.
- Greeting
scheduled visitors.
- Coordinating
travel schedules and/or reservations.
- Conducting
research; compiling and/or
typing statistical
reports
- Coordinating
and arranging
meetings, preparing agendas,
reserving and
preparing facilities, audio/visual, ordering/delivering
refreshments
and food, and recording
and transcribing minutes of meetings.
- Making
copies of correspondence
or other
printed materials.
- Preparing
outgoing
mail and correspondence, including
email and faxes.
- Prepare
PowerPoint
presentations.
- Operate
a variety
of
office equipment: personal computer,
printer,
copier, facsimile, scanner
etc.
- Recording
and documenting photographs.
- Ability
to “wear many hats” taking
a positive approach to work.
- General
office support,
special projects
and other administrative duties as
assigned.
- Ability
to work on
assignments that are complex
in
nature where considerable judgment
and initiative
are required
in resolving problems and
making recommendations
JOB
REQUIREMENTS:
- Minimum
of 3 years previous experience assisting senior level management,
preferably at the executive level.
- Minimum
of 6 years administrative experience
is required.
- Experience
in the legal field is helpful.
- Extensive
knowledge of MS Office applications (PowerPoint,
Excel and Word)
- Type
a minimum of 70 wpm, exceptional word processing
ability.
- Highly
professional demeanor.
- Ability
to multi-task and change priorities quickly.
- Excellent
writing, grammar and proofreading skills
are required and necessary for
reports, letters and
e-mails.
- Individual
must be capable of composing
accurate and professional business
correspondence.
- Individual
must accept tasks, ranging
from critical to picking up lunch
and providing transportation
to President and
Principal.
- Exhibits
interpersonal skills and high level
of customer service.
- Able
to work in a team environment.
- Demonstrated
ability to
work in a fast paced
and demanding work environment.
- Must
be able to interact
professionally with customers,
clients and
all level of management, both in
person, by telephone
and email.
- Proven
ability
to handle highly confidential
material
and information with discretion.
- Proven
ability
to work accurately and with minimal
supervision.
- Exhibits
exceptional
organizational
skills.
- Bachelor’s
degree preferred but not required.
- Provide
own reliable transportation.
- Ability
to work overtime
as needed
and support President outside normal
working hours
when necessary.
- Must
be able to
lift boxes ranging from 5lbs. – 10lbs.
